Temporary Absence Handoff Template for Roommates

Prepare a privacy-limited absence handoff covering dates, bills, essential chores, pets or plants, access, emergencies, and return confirmation.

Before a trip or extended absence, share the departure and expected return window, settle time-sensitive bills, delegate only accepted essential tasks, and define how to reach you in a genuine emergency. Do not publish a detailed itinerary or treat roommates as automatic pet sitters, mail agents, or security staff.

Include what the home needs, omit what it does not

The household needs dates, a contact channel, expected deliveries, utility or rent deadlines, and any condition that could affect the property. It usually does not need flight numbers, hotel details, account passwords, or a live location feed. If severe weather or another local hazard is plausible, identify the landlord or service contact and where approved shutoff instructions are kept.

Ready.gov advises preparing household emergency supplies, including water, in its water guidance. An absence handoff should point to the home’s existing emergency plan rather than improvising treatment or rationing instructions in a travel note.

Copy this absence handoff checklist

Record:

  • Away window: departure date/time and expected return window
  • Contact: preferred channel, backup contact, and emergency threshold
  • Money: bills due, payer, amount source, and confirmation method
  • Home: heating or cooling setting agreed with the household, windows, permitted devices, and landlord notices
  • Care tasks: exact pet, plant, bin, or pickup task with named accepter
  • Access: keys or provider authorizations, return deadline, and no-copy rule
  • Deliveries: carrier, expected date, safe location, and owner notification
  • Return: confirmation message and task closeout

Calculate reimbursements as approved direct expense + preapproved emergency expense, supported by receipts. Time or favors are not silently converted into money.

Use acceptance and escalation gates

Ask each delegate to reply with the exact task accepted. If nobody accepts, arrange a sitter, hold, service, or cancellation rather than leaving a vague group request. State what warrants immediate contact, what goes to the landlord, and what requires emergency services. Roommates should not enter a private bedroom merely because the traveler is unreachable unless prior consent or a genuine emergency supports it.

On return, confirm that keys, packages, expenses, and care logs are closed. Reimburse approved costs promptly. If dates change, send a revised return window and re-confirm tasks that cross the original endpoint.

Separate ordinary tasks from activities requiring skill or legal authority. A roommate can water an agreed plant or roll out bins, but should not be assigned electrical repairs, medical care, lease negotiations, or entry for a contractor without clear authorization and competence. Provide manufacturer, veterinarian, landlord, or service instructions where relevant, and identify the point at which the delegate stops and calls the responsible person.

For pets, document feeding amount, timing, safe access, veterinary contact, carrier location, and a spending cap for authorized care. Do not assume willingness from past favors. For plants, identify only the plants needing action and avoid complicated care that cannot be explained safely. Medication, identification, and financial documents should remain protected unless access is essential and expressly accepted.

Handle keys as accountable property. Note the key or credential issued, recipient, purpose, activation time, and return or revocation date. Use time-limited guest codes where the lock supports them. Never place a door code, alarm code, or hidden-key location in a broadly visible task. If access is lost, notify the owner and landlord as appropriate rather than making an unapproved copy.

Finally, define delayed return handling. The traveler sends an update before the original endpoint and asks each delegate to extend, decline, or modify the task. Existing acceptance does not continue indefinitely. If contact fails and an animal, water leak, extreme temperature, or other immediate hazard is involved, follow the prewritten escalation route rather than waiting for a group vote.
