Student roommates should build a housing-lottery backup before anyone signs an off-campus lease, but they should not hold two binding commitments as a casual hedge. Set one group decision date, compare the real consequences of each option, and require every roommate to acknowledge the choice in writing. Define what each housing status means

Start by copying the exact status language from the housing portal. Record whether each student has merely applied, entered a lottery, received a selection time, selected a room, joined a waitlist, or signed a housing agreement. Add the deposit amount, cancellation terms, and next deadline beside that status.

Do not let one roommate say, "We got housing," when only one person received a selection time. Confirm whether a group stays together if a member has no number, studies abroad, takes leave, or misses selection. Ask who may select for the group and what happens if the preferred unit disappears during the appointment.

Create three acceptable campus configurations rather than one dream suite. Rank them by total cost, accessibility, room count, meal-plan effect, and commute. Record a hard walk-away point, such as no lawful space for the full group by a stated date.

Put campus policy ahead of group assumptions

For off-campus options, confirm whether an application fee, holding deposit, reservation, or signature creates an obligation. Do not assume money is refundable. Get the proposed lease and required disclosures before paying. Verify every tenant name, unit, rent amount, lease dates, included utilities, and deposit treatment.

Use a group decision gate

Set the decision gate early enough to keep realistic off-campus options open, but late enough to use the next reliable lottery result. At the meeting, compare only documented facts:

  • confirmed campus status and cancellation exposure
  • complete off-campus monthly and move-in cost
  • transportation and meal-plan costs
  • whether the full roommate group fits
  • accessibility or accommodation status
  • guarantor and screening requirements
  • what happens if one person withdraws

Every person should choose campus, off campus, or leave the group. Silence is not consent. If the group chooses a private rental, no one should sign for another roommate or promise that a person will qualify. If only some students proceed, rebuild the affordability test using the actual signers.
