Before leaving a rental, send the landlord or property manager a reliable forwarding address through the notice method required by your lease and local rules. Keep a copy and proof of delivery. If roommates are moving to different places, agree in writing where deposit correspondence should go, who will monitor it, and how unopened or jointly payable mail will be handled.

A postal change of address is not a substitute for directly notifying the landlord. Choose a deposit mail custodian

The safest destination is stable, regularly checked, and controlled by a trusted leaseholder. It may be one former roommate's new address, a permitted post office box, or another address management confirms it can use. Do not choose an address merely because it belongs to the person who paid the largest deposit share. Delivery and ownership are different questions.

Write a short household agreement that identifies:

  • the exact address provided to management;
  • the person who will monitor that address;
  • how quickly they must notify the others of mail;
  • whether envelopes addressed to one person may be opened;
  • how a check with multiple payees will be deposited or replaced; and
  • where scans and delivery evidence will be stored.

Respect the addressee. A custodian may receive an envelope without having permission to open another person's mail. If management will send separate statements or checks, ask it to confirm that arrangement in writing rather than assuming.

Send the forwarding-address notice

Review the lease, move-out instructions, resident portal, and applicable local guidance. Some places prescribe timing, content, or delivery methods. Use the required process and include the rental address, unit number, leaseholder names, move-out date, forwarding address, and a request for written confirmation.

Keep the notice factual. Do not combine it with a long argument about anticipated deductions. If there is an existing dispute, reference a separate dated letter. Save the submitted notice, attachments, portal confirmation, mailing receipt, tracking result, or management reply.

If the forwarding address changes, send a corrected notice promptly and label it as replacing the prior address. Keep both versions so nobody later relies on the old one. Update USPS separately for each person who moved, especially when only some household members left.

Prepare for the deposit response

Create a private shared index containing the original deposit receipt, lease, move-in condition record, move-out photos, key-return evidence, forwarding-address notice, and landlord response. Record the deposit amount and each roommate's contribution, but do not decide the final split before reviewing any refund or itemization.

When mail arrives, photograph the unopened envelope to preserve the postmark and addressee. Notify all affected roommates. Scan only after an authorized addressee opens it. Record whether the contents include a check, itemized statement, invoices, or instructions. If a deadline may apply, consult a local tenant organization or attorney promptly.

Assume the selected custodian travels for two weeks and cannot answer messages. Can another authorized person confirm which forwarding address management received, whether a deposit envelope arrived, and who may open it?

The plan passes if the address notice, delivery receipt, backup monitor, and mail-handling rules are accessible. It fails if the address was provided only by phone, one roommate controls all records, or everyone assumes USPS will redirect the deposit correctly.

Can roommates provide several forwarding addresses?

Ask management what its system accepts and check local requirements. If it accepts only one address, select a custodian and document internal forwarding duties. Do not assume the landlord will divide correspondence or funds.

Is an email enough?

It may or may not be. The lease or local rules may require a portal, form, postal delivery, or another method. Use the required channel and retain proof that management received the address.

Should the forwarding address be public in a household app?
