If a loss occurs while a roommate is paying to sublet a bedroom, report the loss promptly and describe the occupancy exactly as it existed. Tell the insurer who lived there, who paid whom, when the arrangement began, which room was sublet, and whether a platform was involved. Do not call a paying occupant a casual guest to make the claim seem simpler.

The lease, renters policy, sublet agreement, and any platform protection are separate contracts. Permission from a landlord does not prove insurance coverage, and a platform's protection does not automatically replace a tenant's renters policy.

Preserve the sublet facts before debating coverage

Save the signed sublet agreement, landlord approval, platform listing, booking confirmation, payment history, move-in photos, key handoff, and dates of occupancy. Record whether the original roommate still kept belongings in the home and whether they had moved elsewhere temporarily.

Build one incident timeline that names everyone present and identifies who first discovered the damage. Preserve original photos and messages. List emergency services, landlord notices, police report numbers, and temporary repairs. Do not edit the listing or backdate an agreement after the loss.

The NAIC warns that using a residence for paid home-sharing can affect coverage and that policies may exclude or limit losses tied to paying guests or business activity. Its home-sharing insurance guidance recommends reviewing both personal insurance and any platform protection. Actual policy wording and state law control the claim.

Route each loss to the right contract

Create four property groups: the named tenant's belongings, the subtenant's belongings, another roommate's belongings, and the landlord's building or furnishings. Record ownership evidence and the room where each item was located. A payment between occupants does not transfer ownership.

Each insured person should contact their own carrier. The person who arranged the sublet should also open the platform's required incident process, if one exists, and save its deadline and claim number. Tell every adjuster about potentially relevant coverage. Let the insurers decide whether a business-use exclusion, sublet disclosure requirement, theft condition, or other provision applies.

A security deposit is not an insurance settlement. Do not deduct an estimated loss from it, promise reimbursement, or allocate blame while adjusters are still gathering facts. Keep tenancy remedies and insurance communications in separate ledgers.

Answer questions precisely and keep a decision log

Expect questions about occupancy, payment, frequency, access, cause of loss, and who owned damaged property. Answer from source records. If you do not know, say so and offer the document that may resolve it. Avoid household-wide scripts designed to make everyone's account sound identical.

For every policy or platform, log the notice date, requested documents, response deadline, inspection, coverage letter, payment, denial reason, and appeal or review route. Request written explanations for any coverage limitation. A verbal comment from a call center is not a substitute for the insurer's formal decision.

Continue reasonable steps to prevent further damage. Keep receipts and photograph emergency work before and after it occurs. Do not discard damaged items unless the adjuster authorizes it or safety requires removal. If removal is urgent, record why and preserve labels or samples when safe.
