Build a Dorm Checkout Evidence Packet With Roommates
Create one dated photo, video, condition, maintenance, and key-return record before the last roommate checks out of campus housing.
Build a Dorm Checkout Evidence Packet With Roommates
Before the last roommate returns a key, create one dated evidence packet showing the condition of the entire dorm room or campus apartment. Photograph every wall, floor, fixture, appliance, furniture item, and empty storage space. Save the housing office's checkout confirmation and record who returned each key.
This packet does not replace your university's checkout process. It gives roommates a common record if cleaning or damage charges appear later, especially when the housing office inspects only after everyone has left.
Start with the campus instructions
Download the current move-out checklist and housing contract from your own university. Record the vacate deadline, approved key-return method, cleaning standard, prohibited disposal areas, and any express checkout requirement. Campus rules vary, so an article or a friend's experience cannot override your agreement.
UC Berkeley's official on-campus move-out instructions provide a useful example of why details matter. They state that missing the deadline can lead to fines or conduct violations, lost key charges may apply, staff inspect after the last resident leaves, and charges for damage, trash removal, or cleaning may be assessed to room residents. Berkeley also tells residents to speak with the resident assistant about damage they caused, or charges may be split between roommates.
Your campus may allocate charges differently. Read the actual contract and ask the housing office in writing if the procedure is unclear. Keep the answer with the checklist.
Create a shared closeout list by area rather than by vague assignments. “Clean room” is hard to verify. “Empty left wardrobe, wipe desk drawers, vacuum under both beds, defrost approved refrigerator, and remove adhesive from east wall” is reviewable.
Capture one complete final record
Choose one evidence lead and one witness. After all belongings and trash are out, walk through the space in a fixed route. Start at the entrance and move clockwise. Take wide photos of each wall, then closer photos of fixtures and any existing wear.
Include:
- Door, lock, and room number without exposing an access code
- Walls, ceiling, windows, blinds, floor, and baseboards
- Bed frames, mattresses, desks, chairs, wardrobes, and drawers
- Sink, bathroom, kitchen, and appliances, if included
- Empty closets, cabinets, refrigerator, and common storage
- Close-ups of previously reported damage
- A short continuous video showing the room is empty
- Key envelopes or checkout receipts, with student ID numbers covered
Do not edit the original files. Save them in a folder named with the building, room, and checkout date. Add the move-in condition report and maintenance requests so later reviewers can distinguish reported pre-existing damage from new damage.
Every roommate should review the common areas before departure. If one person caused known damage, document the person's acknowledgment and notify housing through its official process. A private roommate agreement may help settle costs among students, but it does not force the university to bill a particular person.
Coordinate removal work with HomeCo's graduation bulk trash plan. Evidence photos should happen after approved disposal is complete, not while bags and donated items still fill the room.
How HomeCo Helps
HomeCo can assign each zone, show its completion deadline, and identify the final evidence lead. Create tasks for downloading campus instructions, reporting unresolved maintenance, cleaning each zone, photographing the finished room, and returning each issued key.
Attach a link to the evidence folder rather than uploading student IDs or unredacted receipts to a broad household space. Keep task comments factual: what was done, by whom, and when. Avoid accusations in the shared record.
After checkout, schedule one reminder for the date housing says final charges should appear. If a charge arrives, compare it with the contract, move-in report, maintenance history, and final photos. Submit any challenge through the university's stated appeal channel before its deadline.
Frequently Asked Questions
Who should keep the dorm checkout photos?
At least two roommates should retain access until the period for charges and appeals has passed. Use personal accounts that will remain available after graduation, not only a school account that may close.
What if a roommate leaves before the final cleaning?
Photograph that person's area after belongings are removed, record the agreed tasks, and assign any unfinished work explicitly. The final packet should still document the whole room after the last cleaning. Do not return the absent roommate's key unless campus housing permits it.
