Clinical placement clearance records belong in the school or placement’s approved system, not in a roommate’s downloads folder or a shared printer tray. Name files according to portal instructions without adding unnecessary medical detail. Do not send records through a roommate group chat, household email, or general shared drive. Never ask a housemate to “check whether this result is acceptable.” Direct eligibility questions to the placement office.
Run the upload-and-close check
Before uploading, verify the official portal address and the correct student account. Close unrelated tabs and disable screen sharing. Review the selected file before submitting so another household document is not sent by mistake.
After submission, save confirmation only where policy allows. Log out, close the browser, and check approved download and scan locations for temporary copies. Clear the printer or scanner workflow if one was authorized. Collect every original and failed page from the tray.
If a file went to the wrong account, printer, email address, or portal field, contact the program promptly. Do not ask the unintended recipient to solve the issue informally, and do not hide the mistake by deleting household messages before reporting it.
Set renewal reminders using generic labels. “Placement clearance due” is sufficient; a shared calendar does not need a vaccine name, laboratory result, or accommodation detail.
Handle paper originals without a copy trail
If the program requires an original for in-person review, place it in a closed personal folder and return it to private storage immediately afterward. Do not leave records in a car, communal mailbox area, or open backpack. When a requirement expires, follow the issuer’s and program’s retention guidance rather than purging medical records on a roommate cleaning schedule. The student controls access and disposition throughout the placement.
