An academic leave or suspension can affect campus housing quickly, but it does not automatically cancel an off-campus lease. Treat enrollment status, residence-hall checkout, meal-plan charges, private rent, financial aid, and belongings as separate tracks. Get a written decision for each one before assuming that a registrar action has ended a housing obligation.
Open separate case files for campus and off campus
Create a short record with the effective date of the leave or suspension and the source of that date. Then list every agreement connected to housing:
- campus room or residence license
- dining plan
- private apartment lease
- utility and internet accounts
- parking or storage contract
- roommate reimbursement agreement
For each agreement, record who must receive notice, how it must be submitted, the deadline, the requested end date, and whether approval is pending. Save portal confirmations and emails as PDFs. A verbal answer from an adviser may help identify the correct office, but it is not a release from a contract.

Know which rules control each obligation

A private landlord is not part of the registrar process. Read the lease provisions on notice, early termination, assignment, subletting, abandonment, and joint liability. Do not hand keys to a proposed replacement until the required parties approve the change. If a law, lease clause, or negotiated release might apply, use a local tenant organization or qualified attorney for the specific jurisdiction.
Protect money, access, and belongings
Ask campus housing for an itemized account showing room charges, dining charges, credits, fees, and the effective cancellation date. Ask financial aid how the enrollment change affects aid already credited to housing. Do not spend an expected refund until it posts and the student account is reconciled.
For an apartment, keep paying as required unless a written agreement or valid rule changes that duty. If a replacement is allowed, document screening, approval, deposit allocation, rent start, utility transfer, and keys. Roommates should not improvise a private cash deal that contradicts the lease.
Make an inventory before anyone packs. Identify personal property, jointly purchased items, landlord property, borrowed equipment, and items that require the owner's permission to move. If the student cannot attend, obtain clear written authority limited to packing and delivery. Academic status does not give roommates authority over another person's possessions.
Finally, close physical and digital access together. Return keys, remove old door codes when authorized, stop shared subscriptions, retrieve packages, and preserve a forwarding address through a private channel.
